Meeting Prep Checklist: How to Walk Into Every Call Ready

Showing up on time is only half the battle. Showing up ready — with the right document open, the agenda in mind, and your last conversation with that person fresh — is what actually makes a meeting worth having. Here's a simple checklist to run through before your next call.

The checklist

  1. Know why you're there. Glance at the event title and agenda (if there is one) 5-10 minutes before. If there's no agenda, it's fine to ask "what are we hoping to leave this call with?"
  2. Open the one document you'll need. A proposal, a doc, a spreadsheet, a client brief — whatever it is, have it open before the call starts, not while people are already talking.
  3. Re-read your last note on this person or project. Thirty seconds of context beats fumbling for it live.
  4. Close distracting tabs. If your meeting platform tab is buried under ten others, you're one notification away from losing focus mid-call.
  5. Have a pen or a notes doc ready. Decide before the call how you'll capture action items, not after.
  6. Check your audio/video setup once, not during the call. A quick glance at your camera framing and mic beats an apology thirty seconds in.
  7. Actually be in the meeting on time. This sounds obvious, but it's the step that most often gets skipped under pressure — see our tips for never missing a meeting.

The step most people forget: prep material

Step 2 is where most people fall down — not because they don't have the document, but because they don't remember to open it until the meeting is already live. This is exactly what Meeting Context, a paid-plan feature in Auto Join Meetings, is built for: you attach one prep resource — a link or a file already on your computer — to a specific upcoming meeting, and the extension reminds you to open it a few minutes beforehand. It's local-only, so nothing is uploaded anywhere; it just makes sure the right thing is in front of you before the call starts. See the full breakdown in the Meeting Context help article.

Automate the parts that don't need your judgment

None of the steps above require automation to work — but two of them benefit enormously from it: showing up on time, and having the right material open. Auto Join Meetings handles the first by connecting to your Google Calendar and/or Outlook and opening the meeting tab automatically before it starts (for Google Meet, Basic also clicks "Join now" for you). Meeting Context handles the second. Together, they remove the two steps most likely to slip when you're busy, so you can spend your actual attention on the meeting itself.
